Customer credit & stop credit

Open, overdue, and stop credit — and how owners approve the next job.

Credit status tells the desk whether a trade customer can have more account work opened. It appears on the customer file and feeds dashboard cards such as Credit watch and Can we do it now?.

The three credit states

  • Open — normal account; new jobs are allowed.
  • Overdue — one or more unpaid invoices are past their due date. New work can still be opened, but the desk should chase payment.
  • Stop credit — new jobs are blocked until the account owner approves the next job. One approval lasts 24 hours and covers one job only.

How stop credit is applied

Stop credit can be set by the account owner on the customer file (with an optional reason), or applied automatically when an unpaid invoice is overdue longer than the workshop setting under Settings → FinanceStop credit after overdue (days) (default 60 days).

Owners can also Clear stop credit when the account is back in good standing, or use Approve next job (24 hours) when they want to allow a single piece of work without fully clearing the stop.

Payments and unpaid balances

When Xero or QuickBooks is connected, paid balances from those systems update unpaid amounts and credit status. You can also Mark paid from the invoice screen (account master) for Xero, QuickBooks, or local workshops without accounting.

Walk-in / counter-sales retail customers are not managed through trade credit controls — those rules apply to account customers.
